Privacy Policy
Last updated: July 26, 2026
1. Introduction
This Privacy Policy explains how instaBatch ("we," "us," or "our"), operated via Instabatch.net and founded in Sweden, collects, uses, stores, and shares information when you use our social media automation, distribution, scheduling, analytics, and extraction platform, including free downloaders, converters, extractors, and paid subscription or credit-based tools.
By using the Service, you acknowledge this Policy. For how your use of the platform is governed contractually, see our Terms of Use. If you have privacy-specific questions, contact support@instabatch.net.
2. Information We Collect
Account & profile data. When you register or contact us, we collect information such as name, email address, password (stored in hashed form — we never store passwords in plain text), organization details, and support correspondence submitted via our contact form or email.
Workspace & automation data. For core management and scheduling tools, we securely store workspace configurations, connected channel metadata, publishing presets, scheduled post content and timing, uploaded assets intended for distribution, role or teammate assignments where enabled, analytics metrics pulled for your connected accounts, and usage counters tied to your plan (accounts, scheduled posts, Pack Multipliers, and credit balances).
Extraction & utility telemetry. When you use downloaders, converters, extractors, watermark removers, captioning, or similar tools, we may process URLs or files you submit, job status, timestamps, error logs, and credit consumption. We do not build a permanent media library of your downloaded files on our servers (see Media Processing below).
Technical & usage data. We automatically collect device and browser type, IP address, approximate location derived from IP, pages visited, referring URLs, and diagnostic logs needed to secure and operate the Service. Cookies or similar technologies may be used for authentication, preferences, and product analytics.
3. How We Use Your Information
We use collected information to: provide and improve scheduling, distribution, workspace management, analytics, and extraction features; authenticate users and enforce plan limits; process payments and credit purchases; send transactional notices (billing, security, product changes); respond to support requests (including Premium and Enterprise priority channels); detect abuse, fraud, and infrastructure misuse; comply with legal obligations; and, where permitted, communicate product updates you can opt out of where marketing consent is required.
We do not sell your personal information. We do not use content from your private workspaces or connected accounts to train public AI models for unrelated third parties. Aggregated or de-identified statistics may be used to understand platform performance and capacity planning.
4. Connected Social Accounts & Workspaces
When you link social profiles (for example Instagram, TikTok, YouTube, Snapchat, or other supported networks), we receive tokens, identifiers, and permissions granted through the platform's connection flow. We use that access only to deliver features you enable — such as publishing, scheduling, analytics aggregation, and account management within your workspaces.
Connection credentials and tokens are stored securely and transmitted over encrypted connections. You control which accounts remain linked and can revoke access from instaBatch settings and, where available, from the third-party platform itself. Revocation may delete or disable related scheduled jobs and stop further syncing of analytics for that channel. Agencies and teams using shared workspaces should ensure only authorized personnel have access to client connections.
5. Media Extraction & Pass-Through Processing
Media extraction on instaBatch follows a pass-through design. Our servers handle the computational work of resolving and fetching media for your request, then stream the result to you. We do not permanently store or hoard the downloaded media files themselves as a lasting archive on our infrastructure.
Limited transient processing may occur for delivery, format conversion, audio/frame extraction, watermark removal, captioning, or packaging. Job metadata — such as requested URLs, success/failure state, timing, and credit usage — may be retained for billing, abuse prevention, and support. Optional caption or metadata exports you request are returned to you and are not kept as a long-term media vault. You remain responsible for ensuring you have the legal right to request and retain any extracted content.
6. Billing & Payment Data
For subscriptions, Pack Multipliers, individual tool plans, and Pay-As-You-Go credits, payment card and similar billing data are processed by Stripe (or another designated payment processor). We receive confirmation of payment status, plan entitlements, invoices, and limited billing identifiers needed for account provisioning. Full card numbers are handled by the processor under their security standards, not stored on our application servers.
Where cryptocurrency payments (such as USDC) are offered for eligible credit packs or annual upfront subscriptions, we and our crypto payment partners process wallet or transaction references required to confirm payment and unlock entitlements. Billing records are retained as needed for accounting, tax, dispute resolution, and legal compliance.
7. Sharing, Retention & Security
We share information with service providers who help us operate the Service — including hosting, payment processors (e.g. Stripe), email delivery, analytics, and customer support tools — under contractual obligations to protect data and use it only for instructed purposes. We may disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset transfer, subject to appropriate safeguards.
Account, workspace, billing, and connection data are retained while your account is active and for a reasonable period afterward for backups, legal claims, and compliance. You may request deletion of your account; residual copies in backups may persist for a limited time before purge. We use encryption in transit, access controls, and operational safeguards appropriate to a SaaS automation platform. No method of transmission or storage is perfectly secure; you should use strong passwords and protect workspace invites.
8. Your Rights & Contact
Depending on your location — including rights under the EU/EEA GDPR and similar frameworks — you may have the right to access, correct, delete, or export personal data we hold; restrict or object to certain processing; withdraw consent where processing is consent-based; and lodge a complaint with a supervisory authority. You can manage many preferences in-product (connected accounts, billing plan, workspace membership) and exercise privacy requests by emailing support@instabatch.net.
Our standard support hours are Monday–Friday, 09:00–17:00 (CET). We aim to respond to privacy and general inquiries within a reasonable period, with priority routing for active Premium and Enterprise subscribers. We may update this Policy from time to time; the "Last updated" date above will change, and material updates may be communicated in-app or by email when appropriate. Continued use of the Service after an update constitutes acceptance of the revised Policy where permitted by law.
